Officer, Archiving Unit – Ref:MGMT/14/01/H2
Responsibilities
Implement archiving policies, system, procedure and controls for the
operations department and review these periodically to ensure continuing relevance and compliance.
Review housekeeping methods and ensure proper controls and due diligence in terms of document flow.
Record file flow movements between various functionalities and departments through the use of catalogues and log reports.
Ensure timely reports on count of files and other important documentation in the safe / custody.
Prepare and edit textual descriptions and other explanatory material for the inventories or lists of the office files.
Identify which archived documents to be shredded, archived and entered onto electronic databases.
Assist in establishing preliminary physical control of newly archived records.
Perform clerical functions incidental to office activities.
Provide full administration support for operation units.
Handle the all the stationary requests for all operation units
Qualifications
Graduate with at least 2 – 3 years of experience in the same field.
