Officer, Archiving Unit – Ref:MGMT/14/01/H2

Responsibilities

 

*     Implement archiving policies, system, procedure and controls for the 
operations department and review these periodically to ensure continuing relevance and compliance.

*     Review housekeeping methods and ensure proper controls and due diligence in terms of document flow.

*     Record file flow movements between various functionalities and departments through the use of catalogues and log reports.

*     Ensure timely reports on count of files and other important documentation in the safe / custody.

*     Prepare and edit textual descriptions and other explanatory material for the inventories or lists of the office files.

*     Identify which archived documents to be shredded, archived and entered onto electronic databases.

*     Assist in establishing preliminary physical control of newly archived records.

*     Perform clerical functions incidental to office activities.

*     Provide full administration support for operation units.

*     Handle the all the stationary requests for all operation units

 

Qualifications

 

*     Graduate with at least 2 – 3 years of experience in the same field.
